01What you get

Everything the job actually involves.

Every picture here is the real screen, drawn by the software itself with a sample roster in it. The shortlist below is the real ranking engine’s answer. The demo walks through each one live.

Dashboard & League Overview

Where the work is this morning.

How much of the next seven days is crewed, what is unfilled, who hasn’t answered and what pay is waiting on you — then a list of everything that needs a person, each with the button that fixes it.

  • Needs your attention — empty slots, unrefilled turnbacks, unanswered offers, join requests, pay to approve
  • Games still short of officials — the next 21 days, soonest first, red inside three days
  • Workload across the roster — who is carrying too much and who is barely used

League Overview: 90 percent crewed for the next seven days, six figures, a Needs your attention list with a button on every line, and games still short of officials.

Assignment Board

Spot the holes at a glance.

Every game in the window, grouped by day, one card each: open slots in red, who holds the rest and whether they’ve accepted. Click a slot to fill it; the megaphone posts the game for officials to claim.

  • Filter by date, division, venue, or show only the games missing officials
  • Auto-Assign fills the open slots in one pass — senior position first, work spread fairly, never across a blocking conflict
  • Preview only is ticked by default, so you see every pick before anything is written
  • Publish Crews confirms every accepted assignment in the window in one go

The Assignment Board: game cards by day, an open first-referee slot outlined in red, crewed games badged green, with Publish Crews and Auto-Assign in the title bar.

Fill Slot

A ranked shortlist for every slot.

Open a slot and the officials accepted into that event are ranked best fit first: their evaluations, reliability, distance from the venue, how much they already hold, and how far above the division minimum they sit. Every candidate says Clear, how many warnings, or what blocks them — and why.

  • Season and Travel columns, so fairness and mileage are in front of you
  • Accept for them puts the official straight on the schedule instead of sending an offer
  • Show blocked officials — and Override, which is recorded in the audit log

The Fill Slot panel for a second-referee slot: nine ranked candidates with a fit bar, season games, miles to the venue, and Clear or a count of warnings, each with an Assign button.

Roster

Know who can actually be assigned.

Every official with their certification, tier and years, where they live and how far they’ll travel, their rating, reliability and load — and a red warning on anyone the engine will skip today, like a background check not yet cleared.

  • Officials asking to join arrive with their own profile: levels worked, years, certification
  • Invite Officials by email: an existing account joins at once, anyone else gets a sign-up link
  • Credentials per sport, private notes, crew pairings and conflicts of interest on each official
See it in a demo
The Roster: two officials asking to join with Approve and Decline, a note that one official cannot currently be assigned, and the list with certification, location, rating, reliability and load.

Availability Grid

Who can work which day.

One row per official, one column per day, weekends shaded. Blocked days are red, part-days orange, and a number is how many games they already hold. A dark-red number is somebody booked on a day they blocked — worth a phone call.

  • Officials keep their own availability; the engine honours every block
  • Blocks can apply to all their assignors or only to you
  • 7, 14, 21 or 28 days at a time

The Availability Grid: officials down the side, a week of days across, games held on the tournament Saturday in blue and blocked days in red and orange.

Turnbacks

Know who actually shows up.

When an official hands a game back you’re alerted at once with the reason, the slot is open again on the board, and the penalty is scored by the notice they gave. Refill it from the same row.

  • Slots still need refilling first, with how many days out
  • History with who refilled each one
  • Last twelve months by penalty — turnbacks, share of games, average notice, reliability
  • Excuse this turnback for a genuine emergency, and their reliability is restored

Turnbacks: one slot still to refill with its penalty points and a Refill button, the history of refilled turnbacks, and officials ranked by penalty carried.

Payroll

From worked games to paid, without a spreadsheet.

Pay rates price every slot — by division, position, level or pay tier, most specific rule first, with round-trip mileage if you reimburse it. Worked games become payment lines to approve or adjust; approved lines go into a pay run.

  • Export a run for ArbiterPay or as a general spreadsheet with pay method and payee ID
  • Mark Paid tells every official what they were paid, in the run
  • Rebuild from Worked Games re-prices a window after a rate change

Pay Runs: four runs with their period, total, officials and games covered, and a status of open, exported or paid.

02Leagues & tournaments

A league night is not a tournament weekend.

Every event is set up as one or the other, and it changes what your officials receive.

League: one game at a time

Games are assigned as they come up, week after week. Each official is emailed about each game as you assign it, because each one is its own decision for them — accept, decline, or turn it back later with notice.

  • Offers go out as you assign; answers come back from a phone
  • Move a game and every official on it is told, and checked again against the new time and place
  • Post unfilled games for qualified officials to claim, first come

Tournament: the whole event at once

Crew the entire weekend in one sitting on the court grid — courts across, times down — without emailing anybody while you move people around. Then publish: every official gets one message with their whole schedule and their total.

  • Drag a name from the officials rail onto a slot; conflicts refuse the drop with the reason
  • Copy a crew down a court with one drag of the corner handle
  • Second official on or off for the whole tournament in one switch
  • An alert bar for matches with no first referee, and officials due on another court too soon
  • Applications, waitlists and one-message withdrawals — an official leaves the whole event, not one match

03The engine

Fair to your officials. Honest with you.

Assign, Override, Auto-Assign, a drag on the court grid, a copied crew, an official claiming a game — every way of filling a slot runs the same checks.

What blocks an assignment

  • Roster
  • Tournament acceptance
  • Certification
  • Experience
  • Position
  • Background check
  • Availability
  • Double booking
  • Travel time between venues
  • Other leagues’ commitments
  • Travel limit
  • Daily game limit
  • Team conflicts
  • Keep apart
  • Same game

Double booking is checked against every assignor on the platform, not just you. Each hard rule can be switched off, and an override is always logged.

How candidates are ranked

When several officials can legally take a game, weights you set decide the order. Spreading the work evenly carries the most by default — it is what stops the same three people working every weekend.

  • Spread the work evenly, stronger evaluations, fewer turnbacks, closer to the venue
  • Comfortably above the division minimum, preferred crew partners, experience, level worked
  • A penalty for each warning carried, so a clean candidate beats a stretched one
  • Unrated and unlocated officials rank mid-table, not last

04Importing

The schedule you’re crewing already exists.

If the organiser runs their event on iPLEXsports, they give you a connection code and the whole tournament comes across — divisions, teams, courts and every match, each with empty crew slots ready to fill.

  • Update when the draw changes: courts added or dropped, matches moved, what it means for how many officials you need
  • Your crew sizes, pay rates and certification floors are never overwritten
  • Nothing is ever written back to the organiser’s system
  • No iPLEXsports schedule? Paste one in, a game per line, with a preview first

05Pricing

Free to assign. Free to officiate.

Nothing to pay before your first game. If your schedules come from iPLEXsports there is nothing to pay at all.

06Questions

What assignors ask first.

Anything not here is a good question for the demo.

Who is this built for?

Assignors and officiating associations: anyone responsible for putting a qualified crew on a court or field, whether that is a weekly league, a club’s season or a tournament weekend.

Do my officials have to install anything?

No. Everything runs in a mobile browser. They tap the link in the email or text, sign in, and answer from their phone. Their account is free, always — here is what they see.

Can I assign more than one organisation?

Yes. Companies, venues and teams are kept separately, so you can assign for several clubs, leagues or school districts from one account and keep each one’s events apart.

Does the software pick officials for me?

It ranks them, and it will fill slots if you ask. Every slot shows a shortlist best fit first, with each candidate’s season load, travel and conflicts. Auto-Assign fills a date range in one pass, spreading the work fairly — and it previews first and writes nothing until you say so.

What happens when an official pulls out?

They give the game back with a reason, the slot reopens straight away and you are alerted. Penalty points grow as the notice shrinks and feed their reliability, and you can excuse a genuine emergency. Turned back inside a week, the game can be posted for other officials to claim.

Does it handle officials’ pay?

Yes. Pay rates price each slot by division, position, level or tier, with optional mileage. Worked games become payment lines you approve, gather into a pay run, export for ArbiterPay or a spreadsheet, and mark paid — and each official is told.

Can it import a tournament schedule?

If the organiser runs the event on iPLEXsports, they give you a connection code and the whole event comes across: divisions, courts, teams and matches with empty crew slots. It can be updated when the draw changes. You can also paste a schedule in or build one by hand.

What does it cost?

Nothing if your schedules come from iPLEXsports: the assigning platform is free, with no cap on officials, matches or events. If you bring your own schedule it is 50¢ per match. Either way your officials pay nothing.

Is the 50¢ per match or per official?

Per match. A game with three crew slots on it is one match, not three. Your roster can be as large as you like at no charge.
