For tournament directors, clubs & housing companies

Fill every room block. Without the spreadsheet.

Every hotel you hold rooms at, on one booking page in your own colours. Teams and families pick a room and reserve or pay in a couple of minutes, with no account to make — and you watch each block fill night by night against its attrition floor.

  • Free to organisers
  • No sign-in for guests
  • Paid into your own Stripe or Square
A tournament's hotel booking page in the organiser's own colours, logo and banner: the event's name and dates, then each hotel with its photo, stars, address, distance to the venue, group rate and book-by date; one hotel is open, showing its photo thumbnails, its room types with the rooms left, the cancellation policy and Reserve Rooms.

→How it works

Four steps from contract to a full block.

The first three you do once per event. The fourth runs by itself while you get on with the tournament.

  1. Add your hotels

Pick them from the Hotel Catalog, type them in, or import a spreadsheet. Up to four photos each, and Find details fills in the website, phone and stars.

  2. Load the contract

The group rate, the room blocks night by night, the cut-off, attrition, commission — and what Book does on the public page.

  3. Share one link

Each tournament gets a booking page in your Web Page look. Put the link in the registration email, on the schedule, on your website.

  4. Watch it fill

Reservations arrive to confirm, pickup counts itself night by night, and the dashboard shows the next cut-off and any shortfall.

01The booking page

The page families book from. No sign-in.

Each tournament with a listed hotel gets a public page with every hotel on it. A family opens the link on a phone, picks a hotel, and is done in a couple of minutes.

Reserve Rooms · Book and Pay

Everything about the stay, on one panel.

Each hotel shows its photo, stars, address, distance to the venue, group rate and book-by date. View opens its photos, its room types with the rooms left of each, and the cancellation policy; the booking button opens a two-column panel — the hotel’s photos as a slideshow on one side, the form on the other.

  • Room, check-in and check-out from the block’s own nights, and the price before anything is sent
  • A Team or club on every booking, so a team’s rooms can be kept together
  • With Book and Pay, Continue to Payment brings the card form onto the same panel
  • A confirmation email to the guest, and the booking in your Reservations at once
See it in a demo
The Book and Pay panel: a countdown reading Page closes in 14:55, the hotel's photo with slideshow arrows and dots, its name, the deposit taken now, 14 rooms remaining and 2 other people looking at the room; beside it the form with room, check-in, check-out, rooms, guests, name, email, phone, team or club, a note, the booking terms ticked, the price and Continue to Payment.

When a block sells out in minutes

Fair, fast, and never sold twice.

Some blocks go the hour the link goes out. The booking page is built for that: the last room can only go once, everybody sees the real count, and an abandoned card form gives its rooms back by itself.

  • N rooms remaining for the nights chosen — a room type’s count is its tightest night’s, because a booking takes every night
  • How many other people are looking at the same room, kept fresh while the form is open
  • Booking terms to tick before booking: first come, first served, and nothing is held until the button
  • The form closes after 15 minutes; a card booking holds its rooms for 15 minutes, Back lets them go at once, and payment is refused once the hold has run out
  • A hotel that cannot be booked online shows Contact your company instead of Book: the guest’s message is emailed to you, and they get a confirmation

02Your own look

Your colours. Your banner. One link for every event.

Families should know whose page they are on. Set your look once and every booking page wears it — and your company gets a page of its own listing every event you have hotels for.

Web Page

Design it once, with a live preview.

Web Page is the template every tournament’s booking page starts from. Tabs for Web, Words, Logo, Banner, Colours and Background, and the Preview beside them changes as you do.

  • Your logo in the header, and a banner across the page under it
  • Primary, header, footer and page colours — the text colour on each is worked out for you
  • A tournament can set any of it for itself; whatever it leaves empty, it takes from Web Page
See it in a demo
Web Page in Hotels: the Web, Words, Logo, Banner, Colours and Background tabs, the company page's address with View, and a live preview of a booking page in the company's navy header, logo, sunset banner and orange buttons.

Your company page

Every upcoming event, on one page.

A card for each event ahead that you have hotels listed for, with the tournament’s own schedule picture across the top (or a drawn skyline in your colours), its dates and place, how many hotels hold rooms for it, and See the Hotels.

  • Your look from Web Page, your name in the header
  • A footer with your contact, and the booking pages’ own Privacy Policy and Terms of Service
  • Like every booking page: public, no sign-in, right on a phone
The company's own page: its logo, name and 2 upcoming events in the navy header, the sunset banner, and two event cards, the Sunshine Fall Classic in Kissimmee with 3 hotels and the Sunshine Winter Invitational in Orlando with 1, each with See the Hotels.

03Contracts & room blocks

Every block, night by night. No attrition surprises.

A contract is one hotel’s rooms at a group rate. Hotels counts its pickup as it happens — the hotel’s own reports plus every booking made on your page — and tells you what a shortfall would cost while there is still time to fill it.

Contracts

Every hotel agreement, in one list.

The event with its hotel, the nights, room nights and pickup one night to a line with the totals under them, the cut-off counting down, what Book does and the contract’s status.

  • Event and Hotel filters, search, sort, and an XLSX of the list
  • Pickup as a percentage, amber while it is under the attrition floor
  • Cut-off, attrition, commission (a percent or a flat amount per room night), comp rooms, the hotel contact and cancellation policy on each contract
See it in a demo
Hotel contracts: each row is an event with its hotel under it, the nights, the room nights and pickup one night per line with totals and a pickup percentage, the cut-off with a days-left chip, what Book does, status chips such as Signed, Active and Public, and icon buttons to edit or delete.

Room blocks

Where the block stands, and what it could cost.

Each room type at its group rate, and for every night the rooms held, the pickup the hotel reported, what was booked online and what is held for clubs. Above them, the contract adds it up.

  • Room nights held
  • Picked up
  • Must pick up
  • Shortfall could cost
  • Commission earned
  • Comp nights earned
  • Type in the hotel’s pickup report and Save nights in place
  • A booking counts the moment it is made; a cancellation gives the rooms straight back
A contract's room blocks: 110 room nights held, 78 picked up at 71 percent, 88 to pick up and 10 short of the 20 percent attrition floor, a shortfall that could cost $1,326.30, commission and comp nights earned; then Two Queen Beds night by night with rooms held, the hotel's reported pickup, rooms booked online, rooms held for clubs, a filled bar and the value at the group rate.

Club blocks

Rooms for one club, behind its own link.

Set rooms from your blocks aside for one club — at the block’s rate or one you give the club — and send its director a private link to pass to their parents. Those rooms come out of what the public page offers until the hold date.

  • On the hold date, whatever the club has not booked goes back to the public page — quietly, with no message to anybody
  • The director gets the link and, signed in, a view of their own club’s rooms
  • The club’s parents can book the tournament’s public hotels from the same link
  • You can never set aside more rooms than are free; the screen says so in words
See it in a demo

04Getting paid

Your card account. Your money.

Not every hotel works the same way, so each contract chooses what its Book button does — and each choice is explained on the screen where you make it.

What Book does

Request, the hotel’s link, or Pay online.

  • Reservation request — guests ask, the rooms are held at once, and you confirm with the hotel. Nothing is charged
  • The hotel’s own booking link — guests book on the hotel’s group page, with your group code beside it
  • Pay online — a deposit of the first night or the whole stay, by card, into your company’s own Stripe or Square account. You are the merchant and you pay the hotel

Every step re-prices the stay on the server from the block, never from the browser, and every payment is checked with Stripe or Square before a room is marked paid. No convenience fee is added. Without a card account set up, a Pay online contract can be saved but not listed.

  • Confirm with the hotel’s number
  • Cancel gives rooms back
  • Add reservation by hand
  • Paid offline
  • XLSX rooming list
A contract set to Pay online: what the guest does, what you do and what it is best for; a deposit of the first night charged when they book, with 12.5 percent tax; payments go to this company's own Square account; and the public page card, listed, with the booking page's address, Copy and Open.

05Check Rates

Is a hotel undercutting your group rate?

If a hotel’s own website sells a room for less than your guaranteed rate, your teams will find it and book around your block. Check Rates finds it first.

Check Contracts · Research Rates

Every night ahead, beside the hotel’s own price.

Every night on your signed and active contracts, with your rate, the hotel’s own public price for that night, the lowest price anywhere and the difference. A night where the hotel is cheaper turns red — time for a phone call.

  • Research Rates: filter your hotels by city, state or stars, pick a check-in and up to 14 nights, and check them all
  • View opens the lowest seller’s own page
  • Tournament and Hotel filters on every report; checks are kept, so opening a report costs nothing
  • Prices from Google Hotels through your company’s own SerpApi account
See it in a demo
A Check Rates report: Tournament and Hotel filters, then each hotel and night with your rate and the rooms held, the hotel's own site, the lowest price anywhere and who sells it, and the difference as a chip -- green when the hotel is above your rate, red reading $10.00 below your rate on one night.

06Hotels & events

Start in minutes, whoever you work for.

Bring your hotels in by the hundred, and do the housing for your own tournaments, for a director who shares theirs, or for events you create yourself.

Hotel Catalog · Import

Your hotels, without typing them twice.

The Hotel Catalog keeps one record per real hotel across iPLEXsports: find a hotel and add it to yours, and its name, address, phone and website stay in step. Import takes an .xlsx or .csv, or a list pasted in.

  • Every row is checked and matched against your hotels and the catalog before anything is saved — duplicates are flagged, never added twice
  • Find details fills empty fields: website, phone and stars from Google, and the description and a photo from the hotel’s own website
  • Up to four photos a hotel, cropped to 800 × 600; drag them into order, the first is the cover
Import hotels: instructions in folding sections -- how to build the spreadsheet, pasting a list instead, the columns, Hotelbeds and Google Hotels, duplicates and what Import does -- beside a box to drop an .xlsx or .csv of up to 1,000 hotels, and Or paste a list.

Tournaments · your own events · hotel partners

Housing company or director, it fits.

Tournaments lists every event you do the hotels for, with its contracts, pickup, shortfall, next cut-off and reservations to confirm.

  • New event: a housing coordinator with no tournament of their own creates the event and sells rooms for it
  • Add iPLEX Tournament: a director shares one tournament with your company by a partner code from their Event Settings; it arrives marked Shared
  • A director who would rather do it themselves opens Hotels for their own tournament from the same place
Tournaments in Hotels: Add iPLEX Tournament and New event at the top, a When filter, and each tournament with its organiser, contracts, pickup, room nights short of attrition, next cut-off and reservations to confirm, with Open.
The Hotels dashboard: hotels, contracts, room nights held and picked up, the next cut-off, room nights short of attrition, what the shortfall could cost and commission earned, then Needs attention -- reservations to confirm, cut-offs coming and contracts short of their floor -- and Coming up.
The DashboardEight numbers, then Needs attention: reservations to confirm, cut-offs within two weeks with their shortfall, and contracts short of their floor.
Reservations: sample guests with their team, the event and hotel, the room and stay, rooms, total and what was paid, a status, and Confirm and Cancel on each row.
ReservationsEvery booking with its team. Confirm with the hotel’s confirmation number and the guest is emailed; cancel and the rooms go back to the block.

08Questions

What organisers ask first.

Anything not here is a good question for the demo.

Who is this built for?

Anyone who holds hotel room blocks for sports events: a tournament director or club housing its own teams, or a housing and travel company working for several events. A company switches Hotels on and gives it to the people who run its housing.

Do teams and families need an account?

No. The booking page is public: they open the link, choose a room type and their nights, and send the request or pay. They are emailed a confirmation.

What happens when a block is selling out?

The last room can only go once. Each room type shows the rooms remaining on its tightest night, the booking form says how many other people are looking, and it closes after 15 minutes so nobody books from an old count. A card booking holds its rooms for 15 minutes while the guest pays; Back gives them up at once, and payment is refused once the hold has run out. When a hotel cannot be booked online, the page offers a Contact button instead of Book.

What happens when a guest presses Book?

You choose, contract by contract. A reservation request holds the rooms and waits for you to confirm with the hotel. The hotel’s own booking link sends the guest to the hotel’s group page with your group code. Pay online takes a deposit of the first night or the whole stay by card.

Where does an online payment go?

To your company’s own Stripe or Square account, never the platform’s. You are the merchant and you pay the hotel. Without a card account set up, a Pay online contract cannot be listed on the public page.

Can I keep rooms for one club?

Yes. Club blocks set rooms aside for one club behind its own private link, at the block’s rate or one you give the club, until a hold date. On that date the rooms the club has not booked go back to the public page by themselves. The club’s director can also see their own rooms when signed in.

Can the booking page look like ours?

Yes. Web Page sets your logo, banner, colours and background once, with a live preview, and every tournament’s booking page starts from it. A tournament can change any of it for itself. Your company also gets a page listing every upcoming event you have hotels for.

How is pickup counted?

Night by night: the pickup the hotel reports, plus the rooms that reservations on the booking page hold. Each contract shows the attrition floor, how many room nights short of it you are, and what that shortfall could cost at the block’s average rate.

How do I know if a hotel undercuts my group rate?

Check Rates lists every night ahead on your signed and active contracts with the hotel’s own public price for that night, from Google Hotels through your own SerpApi account. A night where the hotel’s own site is cheaper than your group rate is marked in red. Research Rates checks any of your hotels for the nights you choose.

I run housing, not tournaments. Can I use it?

Yes. Create your own events in Hotels and sell rooms for them, or enter a tournament director’s partner code to do the hotels for their iPLEX tournament.

What does it cost?

Nothing to the organiser. Guests pay the room rate, and the platform’s margin is built into it.
